BULK MAILING REGULATIONS

August 2004

 

Shawnee Mission Area Council (SMAC) PTA provides a bulk mailing service to PTA units and the Area Council Board.  ONLY mailings sponsored by PTAs (not building/school mailings) can be mai8led under this permit.

 

INSTRUCTIONS:

 

     Please contact the chair Sheri Womack at 341-2580 or swak@kc.rr.com before you begin preparing the mailing. 

     Be sure within the first five pages of your publication that you include: the title; issue date; frequency of mailing; name; address which includes city, state and zip; and issue number.  Your mailing may be opened by the Post Office and must be easily identifiable as coming from a PTA unit.

     You must have a minimum of 200 IDENTICAL pieces, using the same weight and color of paper; same envelope or type of closure; and they are the same size.  Your pieces may be in envelopes (do not use the metal clasp to close or the Post Office may charge $.02 more per an envelope).  You may fold newsletters and tape, staple or use seals to close.  

     Your return address must be that of the SMAC PTA although you may put the name of your organization above it.  You also need to make a “stamp” for the permit such as:

     Sort your mailings by zip code.  They need to be separated by the first three digits of the zip code.  You will probably have a box for 662—and maybe 661—and all others in another box.  You do not need to use rubber bands unless they are postcards. 

    

 

      We will be charging a one time per a school year fee to each school to help cover the cost of the permit for SMAC.  The fee will be as follows: $15 per elementary school; $25 per middle school and any other group of less than 500 students; $75 per high school.  After payment is received, a letter will be prepared allowing you to go to the Post Office.  The Post Office will not accept mailings now with out a signed form.  The difference in fees is based on the usual size of mailings.  The mailings will then be charged postage as set (usually $.153 for local or $.183 for local flats).  This should still save you considerable monies.  I will be glad to help you prepare your mailings.  You will need to get a check from your PTA or go to the Post Office and then be reimbursed for your expenses from your own PTA unit.
