- How will your PTA
work with your school staff, families and children to enhance
learning and make this the best school year ever?
- Are you keeping
the PTA mission and objects in mind by and keeping your focus on
children and youth?

Use the
free resources provided by National, State and council. Read the
information that is sent to you and distribute it. |

Start
meetings on time. Never have a meeting without an agenda. You can
keep the meeting running smoothly by sticking to the agenda. |

Make sure
accurate minutes of your meetings are taken. The minutes record the
legal transactions of your organization. Financial records are kept
seven years but minutes are kept permanently. They will forever tell
what has happened in your local PTA. |

Include
your chairmen at your monthly board meetings. Develop your future
leadership to its fullest potential. |

Make sure
an audit was done at the end of the last fiscal year. |
| 14 |
Make sure
all required tax forms have been filed. Make sure last year’s
taxes were paid. The penalties add up. |

If you
haven’t already completed it, work with the treasurer and budget
committee to prepare the budget for approval by the Executive Board
and the general membership. |

Have a
printed treasurer’s report at each meeting and this needs to be
available for everyone in attendance. |

Be
informed about financial matters. Both the PTA President and
Treasurer are responsible for the financial transactions of your
PTA. Read the finance section (referred to as Money Matters) of your
"National PTA Annual Resources for PTAs". |

Follow
fundraising and sponsorship guidelines. If you secure a corporate
sponsor a form must be filled out and sent to both Fundraising
Chairman Jeanne Slaughter and SMAC President Kim Pflaum. |

Only the
president can sign a contract or letter of agreement. Before signing
a contract approval should be given by a board vote and it should be
documented in the minutes. Contracts should be signed:

Get
acquainted with the teachers in your school. Ask what PTA can do for
them. |

Mail a
newsletter with membership and volunteer information. Promote the
activities of your PTA. |

Make sure
State and National dues has been mailed to the State Office.
Remember the deadline to receive the early membership award at state
convention is October 1. |

Attend the
Kansas PTA convention in Great Bend and other leadership training.
These are legitimate PTA expenses. They develop leadership. Budget
for them. |

PTA may
not campaign for or against candidates for federal, state, or local
public office. Although PTAs cannot support any candidates, they can
support issues. |

Please
make sure that the president and principal have the date of the
Administrators Dinner on their calendar. When you receive the
invitation in the mail, please RSVP by the date requested. |

doing a bulk mailing using the SMAC bulk mail permit call Maureen
Frazell, SMAC’s Bulk Mail Chairman. |

Corresponding Secretary, Vicky Needham. |

copies of the minutes of the SMAC meetings send or give to the
Corresponding Secretary Vicky Needham 9 self-addressed, stamped
envelopes. |

Please
keep Vicky Needham informed of address, phone, e-mail, and fax
number changes. |

Please
remember that the President’s list and the SMAC Roster are not for
distribution to outsiders. |

Make sure
that the president, council delegate, and the principal are all
receiving the Councilor. |

check the Councilor and the web page for additional workshop
information, roster corrections and other useful information. |
